Documents — common questions
Can we keep some documents council-only?
Yes. Council Documents is a separate, council-only library — file something there and residents never see it. File it in the main library and the whole community can. There's no per-file permission setting to get wrong; the shelf decides.
What happens when a document expires?
Give a document an expiry date — or accept the one the AI proposes from the file — and the library badges it "Expires soon" as the date approaches, then "Expired" once it passes. Upload the replacement and the old version drops out of the default view.
Does the AI change my documents?
No. It reads the PDF once and proposes metadata — title, category, dates, a summary, tags — for the manager to review and edit. The file itself is never altered, and nothing saves until a person confirms it.
Do we have to use the AI to upload?
No. Manual upload works the same as ever — title, date, category, done. The AI path is there for when you're holding a stack of PDFs, not a requirement.
